Privacy Policy

Hourglass helps small federal contractors keep track of SAM.gov and SDVOSB/VOSB compliance deadlines. This page explains what information we handle and why. We've kept it specific to how the service actually works.

What we collect

• Account details: your email address and a password. Passwords are handled by our authentication provider and are stored only in hashed form.
• Companies you track: the UEI you enter, plus the business name, CAGE code, registration status and expiration date returned by SAM.gov for that UEI.
• Dates you enter: your last SDVOSB certification date and last material change date, and the deadlines we calculate from them, including whether you marked them done.
• Email history: a record of which reminder emails were sent for which deadline, so we never send the same reminder twice.
• Technical data: our hosting provider automatically records standard request information such as IP address and browser type in server logs.

Free lookups without an account

When you look up a UEI on the home page without signing in, we do not save it to your account or a database. Results may be cached briefly (up to an hour) to reduce load on SAM.gov, and your IP address is held temporarily in memory to limit repeated requests.

How we use it

• To show you your deadlines and keep them up to date.
• To email you reminders before deadlines. You can turn these off at any time from your dashboard or with the unsubscribe link in any reminder.
• To send account emails such as confirmation and password reset messages.
• To keep the service secure and prevent abuse.

We do not sell your information, and we do not use it for advertising.

Cookies

We use only the cookies needed to keep you signed in. We do not use advertising or cross-site tracking cookies.

Who handles your data for us

We rely on these providers to run the service:

• Supabase, which provides our database and sign-in.
• Vercel, which hosts the website.
• Resend, which delivers our emails.
• SAM.gov (a U.S. government system), or a data provider that republishes it, which we query for public registration information about the UEI you enter.

The registration information we retrieve is public record. We do not access or change your SAM.gov registration.

Keeping and deleting your data

We keep your information while your account is open. You can delete any tracked company, along with its deadlines, from your dashboard at any time. To delete your account entirely, email support@hourglassops.com.

Not affiliated with the government

Hourglass is an independent tool. It is not affiliated with, endorsed by, or operated by SAM.gov, the General Services Administration, the Department of Veterans Affairs, or the Small Business Administration.

Changes

If we change this policy in a meaningful way, we'll update the date above and, where appropriate, tell account holders by email.
